# Ring groups

> Ring a list of people in order when one number is called: your cell first, then a teammate after a delay you set, then voicemail or another number. Needs the latest Leaf360 mobile app on every phone in the group.

A ring group is a list of phones that ring in order when one of your numbers is called. Let's say your main line comes in. You want your cell to ring first, then Katie's phone if you don't pick up after 30 seconds, and voicemail if neither of you answers. That's a ring group.

  Ring groups run through the Leaf360 mobile app. Every person in the group needs the app installed and updated to the latest version, or the calls won't reach them. See [Before you build one](#before-you-build-one).

## What a ring group does

* One number in, several phones out. Give the group a name that says what it's for, **Front Desk** for example, so everyone knows which line it is.
* The phones ring **in the order you list them**, one at a time, not all at once. That's the difference from **Ring All** under [Phone system](/mortgage-crm/phone-system).
* Each phone gets its own **delay**. Ring the first phone for 30 seconds, then move to the next. You choose the seconds per phone, so your cell can get more time than the backup line.
* The **last stop** is yours to pick: voicemail on the Leaf360 line, or one more number.
* If a phone in the group is down, off, or has no signal, the call rings that person's **cell phone as backup**, so a dead battery doesn't drop the caller.
* When the call reaches a cell, it whispers who's calling first, the lead or contact name from your CRM, and you **press 1 to accept**. That way a wrong number never surprises you mid-sentence.
* A group can have its own **dedicated number**, or you can point one of your company numbers at it.

## Before you build one

    The ring group rings phones through the app. A person without it never rings, and the call moves on to the next phone as if they'd missed it.

  <Step title="Make sure the app is on the latest version">
    Older versions don't know about ring groups. Update from your phone's app store before you test the group, so that way you're not chasing a "my phone didn't ring" that's really an old app.

  <Step title="Sign in on the phone">
    The app needs to be signed in to the same Leaf360 account the number is assigned to.

## Build the group

  <Step title="Open Phone System">
    Go to **Settings**, then **Phone System** under **Communications**.

  <Step title="Create the ring group">
    Add a ring group and name it for the line it answers, **Front Desk** for example.
  </Step>

  <Step title="Add the phones, in order">
    Add each person or number in the order you want them to ring, or pull in an existing team in one click. First on the list rings first.
  </Step>

  <Step title="Set the delay per phone">
    For each phone, set how many seconds it rings before the call moves on. Thirty seconds is a good starting point for the first phone.

  <Step title="Pick the last stop">
    Choose voicemail on the Leaf360 line, or another number, for when nobody picks up.

  <Step title="Save, then call it">
    Click **Save Changes**, then call the number from a phone outside the group and listen for the order. Nothing on this screen saves on its own.

  Running solo and forwarding your line to your cell? You can stay on the simple one-to-one routing and keep seeing the caller's real number on your phone. Ring groups are for teams. If your company is switched to the team routing and you'd rather not be, ask us on the thread.

## Common problems

    Check that the second person has the Leaf360 mobile app installed, updated, and signed in. A phone without the app is skipped.

  <Accordion title="Calls go straight to another number and nobody rings">
    That number has **Call Forwarding** turned on in its Actions menu, which forwards around the clock and skips the group. Turn the forwarding off and let the ring group do the routing. See [Phone system](/mortgage-crm/phone-system).

  <Accordion title="Everyone rings at the same time">
    That's the **Ring All** strategy, not a ring group. A ring group rings one phone at a time in the order you listed.
