Brand Wiki is your company’s one record of what it looks and sounds like: logos, colors, fonts, brand voice, licensing and disclaimers, plus a shared media library. Leaf360 checks this record every time it generates an email, an image, a video, a site, or any other piece of AI content on your behalf, so what you set here shows up everywhere else. Open it from Marketing, then Brand Wiki, under Tools in the sidebar. If your company hasn’t created one yet, the screen shows a single Get Started button that opens the setup wizard below. Once one exists, the screen becomes five tabs: Identity, Tone & Voice, Compliance, Media Studio and Preview, with a Setup Wizard link in the header that reopens the same wizard.
Anyone in your workspace can view Brand Wiki. You need an administrator or marketing manager role to edit the four content tabs, upload a logo, delete a media item, or run the setup wizard. Anyone with access to the workspace can still upload to the media library and generate images or video there, even without that role.

Identity

Company name, tagline, and:
  • Logos, five slots: primary, a dark mode variant, a secondary mark, an icon and a favicon. Drop a file or click to browse. An AI Default Logo selector picks which uploaded variant AI generation uses.
  • Color Palette, nine swatches: primary, primary dark, secondary, accent, text, background, success, warning and error. Click a swatch to open a color picker.
  • Typography, a heading font and a body font, each chosen from a fixed list of web fonts, with a live sample underneath.
  • A live email preview at the bottom of the tab updates as you change any of the above.
Save Identity saves company name, tagline, logos, colors, and typography all at once.

Tone & Voice

  • Brand Voice: Professional, Friendly, Authoritative, Casual or Luxurious.
  • Target Audience and Brand Persona, where you type in your own text.
  • Brand Keywords and Avoid Words, both simple lists you build one word at a time.
  • Sample Brand Phrases, a list of phrases to reuse.
Save Tone & Voice saves all of the above together.

Compliance

  • NMLS ID and an Include Equal Housing Logo checkbox.
  • State Licenses, a state and a license number added one pair at a time.
  • Required Disclaimers, one block of text per channel: email, SMS, website, social or video. Adding a second disclaimer for a channel replaces the first rather than adding to it.
  • Legal Links: a privacy policy URL, a terms of service URL, and copyright text.
Save Compliance saves all of the above together. These fields feed the per-channel disclaimers that Email Templates and other AI-generated content pull in automatically.

Media Studio

A shared library of images and video for your company, with two ways to add to it.
  • Drop files here, or click to browse, accepts JPG, PNG, WEBP, GIF, SVG, HEIC, AVIF, BMP, TIFF, MP4, WEBM, MOV and PDF up to 25 MB each.
  • AI Generate takes a prompt, a type (image or video), an aspect ratio, and either a style (image) or a duration (video), then generates and adds the result to the library.
Every prompt goes through a compliance check first. If it makes a banned marketing claim, names a competitor, or reads like an attempt to override the generator’s instructions, Leaf360 rejects it and tells you which check it failed.
Image and video generation need a generation service set up for your company. If it isn’t set up, clicking generate gives you an error saying so instead of producing anything.
You can search the library or filter it by type. Hover over an item to see View, Copy the asset URL, and Delete. Deleting is permanent, and there’s no confirmation box first — so double-check before you click it.

Preview

The setup wizard

The setup wizard is a four step flow: Logo, Colors, Voice, Compliance. Each step covers part of what the tabs above also edit. Create Brand Wiki on the last step saves company name, tagline, the uploaded logo, colors, tone and compliance all at once, then takes you back to the main screen. Running the wizard again after a Brand Wiki already exists updates the same record. It doesn’t create a second one.

Where it gets used

You don’t send anything from Brand Wiki itself. It’s the reference every other AI-assisted screen checks before it creates anything on your behalf.
  • The brand header and footer snippets saved from Email Templates are stored on this record and applied to every template that uses them.
  • The AI Email Builder and AI SMS Builder read your voice, keywords, avoid words and compliance details when they generate.
  • Workflow AI steps, mortgage rate share cards, and other AI-generated content across Leaf360 pull from the same record.

Common problems

Editing Brand Wiki requires an administrator or marketing manager role. Ask one of them to make the change, or to grant you the role.
Generation needs to be set up for your company. If it isn’t, the error says so rather than producing an image or video.
The compliance filter blocks banned claims such as guaranteed rates or approvals, named competitor mentions, and text that reads like an attempt to redirect the generator’s instructions. Reword the prompt.
Only one disclaimer is stored per channel. Adding a new one for a channel that already has one replaces it.
