A referral partner is a real estate agent, title company, insurance agent, attorney, CPA, or anyone else outside your company who sends you business. They’re not the broker partners in Wholesale CRM — that’s a separate workspace and a separate product. See The three workspaces. Also note: the sidebar row labeled Partners under Pipelines is actually the Contacts list, not this screen. This screen lives further down, under Referral Partners.
The header
The heading reads Partners Overview, with Manage and track your referral partner relationships underneath. View All Contacts on the right takes you to Contacts, where you create and edit partner records and set up their portal access. This screen is just a summary. There’s no search box, filter, sort, or refresh button — the numbers reload only when you open the page. The numbers across the top
Four numbers are worth knowing:
Two things about these are easy to get wrong.
Volume means closed volume, not pipeline. A partner with four leads in process and nothing funded yet adds nothing to this number. The same goes for per-partner volume anywhere else on this screen.
These numbers are based on only your first hundred contacts. Partners Overview pulls your hundred most recently updated business contacts and does its math on those. If you have more than a hundred, Total Partners stops at 100 and the other three numbers only cover that slice. For your real contact total, check Contacts.
Two more things narrow that group before the count even starts. Contacts marked inactive or merged, and archived contacts, are left out entirely. And unless you’re an administrator, you only see contacts you’re attached to — meaning you’re the assigned loan officer, one of the other loan officers, a collaborator, the account executive, or the person who created the record.
Dollar amounts are abbreviated: 1.2M
, $450,000 as $450K`, and anything under a thousand dollars shows in full.
Top Performers
The left panel ranks your top five partners by referral count, highest first. Each row shows a number, the partner’s photo, their name with their company underneath, and their referral count on the right. Click a row to open that partner’s contact record. It shows No data available when nothing has loaded yet.Performance by Partner Type
The right panel always shows the same nine partner types, in this order, whether or not you have any of each: Real Estate Agents, Title Companies, Attorneys, Insurance Agents, CPAs, Financial Planners, Home Inspectors, Builders/Developers, and Other. Each row shows how many partners of that type you have and their combined referrals, with a bar underneath. That bar is relative, not absolute — the busiest type fills the bar completely, and every other type is drawn as a share of it. A full bar just means “the most of any type here,” not “all of them.” The type comes from the Contact Type field on each contact record. A contact with some other type, or no type at all, doesn’t show up in this panel — not even under Other.Recent Partner Activity
The panel at the bottom lists the five partners with the most recent activity, newest first, with the date on the right. That date is their most recent credited referral if they have one — otherwise it’s the last time their contact record changed. That’s why a partner who’s never referred anyone can still show up here. It shows No recent activity when nothing qualifies. How a referral gets credited to a partner
Nothing on this screen moves until a lead is credited to a business contact — and that happens on the lead record, not here.1
Open the lead and edit its source
On the lead record in Sales Pipeline, open the Source block and pick a source category your company has marked as a referral category.
2
Pick the business contact
A search box appears over your business contacts. Pick the partner. If they’re not on file yet, click Create business contact to open the full contact form — you won’t lose your place, and the contact you create gets selected automatically when you come back.
3
Save
Saving adds the partner to the lead as its referring contact, sets the source type to Agent Referral, records the partner’s name as the source name, and adds them to the Lead Team with the role Referral Partner if they’re not already on it.
What a referral partner can see
A partner you’ve invited signs into the Partner Portal, a separate site carrying your company’s branding instead of the Leaf360 name. Two things put a record in front of them:- The lead is credited to them as its referring business contact, using the steps above.
- Their portal login email appears on the lead’s Lead Team.
On a lead
Their My Leads list shows the borrower’s name, email, phone number, lead source, lead status, priority, loan amount with the loan type underneath, the lead team as photos, and how long it’s been since the lead was last contacted. Opening one of those leads shows everything above, plus:
Borrower date of birth is not on the list. The portal has a Date of Birth row in two places on the lead record, but that field is never actually sent, so it shows as a dash for every lead. Social security number, income, assets, employment, your team’s internal notes, tags, tasks, and documents are all left out too.
A few more fields do travel to the partner’s browser without ever appearing on the page: the borrower’s middle name, the lead stage status, the lead source type, whether a loan has been created from the lead, the actual close date, the probability figure, and the date the record last changed. None of these are financial details, but they’re worth knowing about if you’re auditing what leaves your company.
On a loan
A loan the partner is on the Transaction Team for shows less: borrower name, email and phone, the loan number, amount, purpose and mortgage type, the loan status, stage and pipeline stage, the application date, estimated closing date, funding date and closing date, the property’s street address, city, state and zip, the stage history, milestone dates (where your company syncs them), the loan officer’s name, the full Transaction Team with each member’s name, role, email, phone and photo, and the third-party note thread. No credit score, no date of birth, no borrower financials. What a partner can do, not just see
The portal isn’t just for viewing. A partner can share a new lead into your pipeline, write notes on a lead or loan they can see, and create, complete, and delete their own tasks on a lead. Notes they write show up on your side as third-party notes, and a lead they share arrives as a new lead with the partner already credited as its source. This is the field list as the portal works today. If you need to be certain before sharing a specific borrower’s record with a specific partner, remember the credit score point above, and check with your administrator about your company’s Partner Portal settings.
Common problems
Total Partners says 100 and I know I have more
Total Partners says 100 and I know I have more
The screen only loads a hundred business contacts and counts those — it’s not your company total. Check Contacts for the real number.
A partner I know sent me a deal has zero referrals
A partner I know sent me a deal has zero referrals
Referrals only count leads that name that contact as their referring business contact. Open the lead, edit its Source, choose a referral category, and pick the partner. Nothing else gives them credit.
Volume looks far too low
Volume looks far too low
Volume only counts closed loans. Anything still in the pipeline adds nothing until it reaches a closed status.
I see fewer partners than a colleague on the same screen
I see fewer partners than a colleague on the same screen
Unless you’re an administrator, the screen only shows contacts you’re attached to — as the assigned loan officer, another loan officer, a collaborator, the account executive, or the creator of the record.
A partner type I use is not in the type panel
A partner type I use is not in the type panel
The panel only shows nine fixed types. Contacts with a type outside that list don’t show up at all — not even under Other.
