Email Templates is the library that every email in Leaf360 Mortgage CRM gets built from. A template is a subject line, a preheader, a stack of content blocks, and a call to action, saved under a name so a campaign, a workflow, or a colleague can reuse it. Open it from Marketing, then Emails, under Tools in the sidebar. Your folders sit on the left. Pick one, and its templates fill the rest of the screen. Above the list you’ll find a header, a filter bar, and a Brand Header & Footer panel you can expand or collapse.

The header

New Template remembers your current folder — if you have one selected, that’s where the new template gets filed by default.

Finding a template

The filter bar holds four things.

Search

Search templates… searches your whole library, not just what’s currently on screen.

Filter by tier

Choose All, Internal / System, Internal / Reporting, or Client-Facing. You set a template’s tier under Classification in the editor.

Filter by status

All, active, draft and archived.

Switch the layout

Two buttons on the right switch between a card grid and a list. The list view adds columns for Name, Tier, Category, Folder, Blocks, and Status.
Changing any filter takes you back to page one, and clears whatever you had selected.

Folders

The left column holds your folder tree, split into two halves.
  • My folders are yours. Nobody else sees them.
  • Company folders are shared with the team.
Above both sit All templates and Unfiled — templates that aren’t in a personal or company folder. Folders can nest, so each one can hold subfolders. The pane on the right shows any subfolders of what you’ve selected before it shows the templates themselves. Hover over a folder row and you’ll see a plus, a pencil, and a trash icon, labeled Create subfolder, Rename folder, and Delete folder. Deleting a folder doesn’t delete the templates inside it — the confirmation box tells you that before you commit. The heading above the results tells you where you are: the folder name, a description of it, a small label reading Workspace, Unfiled, Company folder, or My folder, and a count of the templates matching your filters.

What a template card shows

Hover over a card and five actions appear: Preview, then either Edit or Duplicate to edit, then icon buttons for Duplicate and Move to folder, and a trash icon if you’re allowed to delete it.
Most people can’t edit company templates directly. Where that’s the case, the button reads Duplicate to edit — clicking it makes your own copy instead of opening the original. Preview always works, though.

Acting on several at once

Check the box on a card, or use Select all deletable templates in the filter bar. A row of actions appears: Those two status buttons only show up when your selection actually has templates in the opposite state, and each one shows the count it would affect. Move to folder offers Remove from my folders and Remove from company folders at the top of the list — that’s how you pull a template back out of a folder without moving it into another one. Deleting is permanent. The confirmation box names exactly what it’s about to delete and warns that you can’t undo it.

Pagination

The library loads twenty-four templates at a time. Once there are more, a bar appears under the results reading Showing X-Y of Z templates, with Previous, Next, and the page number in between. Between the filter bar and the results sits a panel you can expand, headed Brand Header & Footer, with a small label showing whether you have a header, a footer, or both. These are small pieces of HTML (the code behind an email’s layout) that wrap around every template. The header sits above the hero image, and the footer below the content. The merge fields inside them get filled in automatically when the email sends. The panel lists what’s available under Available Company & System Variables — your company name, phone, email, website, NMLS number, address fields, the loan officer’s name, NMLS number, phone and email, plus two system fields for the current year and the unsubscribe link. Leaf360 pre-fills the footer with a default version that carries your company name, NMLS number, address, a line noting the message is a marketing communication, an unsubscribe link, and a copyright line. Reset to default brings that back, and the button is grayed out while the footer already matches it. Save Snippets writes both the header and footer to your company’s Brand Wiki, and the panel confirms with Saved! next to the button.
This panel writes to a company-wide record. You need an administrator or marketing manager role to save it, and everyone in your company gets whatever header and footer you save here. If your save gets refused, that’s why.

The template editor

Opening a template, or pressing New Template, takes you into the template editor. The editor has your email laid out in the middle, a settings panel on the right, and a row of buttons across the top.

The three modes

A set of three buttons at the top switches between them. Advanced Split is the same feature the AI Email Builder calls Advanced HTML. In that mode, the code itself is what counts — so the separate call-to-action fields get dropped when you save. A second pair of buttons switches the preview between desktop and mobile width.

Template properties

The panel on the right holds everything that isn’t a content block:
  • Subject Line and Preheader, the inbox preview text.
  • Color Scheme and Layout. The layout choices are Standard (a card with a wide hero image), Minimal (clean, text only), and Announcement (a full-width hero image with text over it).
  • Hero Image, with a URL field, and an optional link the image opens when someone clicks it.
  • Call to Action, a button label and a URL.
  • Footer, Tags, Description and Classification, which sets the tier and its subcategory.

Content blocks

Add Content offers twelve block types:

Merge variables

The variable button next to most text fields opens a searchable list of merge fields, grouped by where they come from — click one to drop it in at your cursor. That same list is available from the settings panel. Leaf360 figures out which merge fields a template uses just from its content when you save, so you never have to declare them yourself.

Previewing against a real record

The Preview data button lets you check a template against a real record. Pick Lead, Loan, or Contact, search for the record you want, and the preview fills the template with that record’s actual values instead of showing the raw merge fields. The button stays highlighted while a record is selected.

Sending a test

The send icon opens Send Test Email. Type in an address and click Send Test. The confirmation tells you the address it went to and the account it sent from.
A test send only works on a saved template. On an unsaved one, the editor tells you Please save the template first and sends nothing. The same rule applies to Duplicate.

Saving

Save writes the template and confirms with Template created! or Template saved!. The draft and active status labels next to it are part of the template, and get written by that same save rather than separately. Template folder at the top files the template — it offers My folders and Company folders, with Unfiled at the top of each. The trash icon deletes the template and sends you back to the library. If it’s a company template you can’t delete, that button is grayed out.
On a company template, the editor shows a bar reading This is a Company Template. Duplicate to edit your own copy. Everything in the panel stays read-only until you do.

Where templates get used

A template is the raw material for an email, not the sending itself. There’s no schedule and no audience list on this screen.
  • Email Campaigns sends one to a list.
  • A workflow sends one when it’s triggered. If you open the editor from a workflow, the back button changes to Workflow and hands your saved template back to the step you came from.
  • The bulk email tool on a pipeline sends one to whoever you’ve selected.

Common problems

That template belongs to the company, not to you. Duplicating it gives you an editable copy and leaves the original untouched.
Check that the template’s been saved, and that the address you typed has an @ in it. The editor will refuse both with a message instead of sending.
A template started from New Template takes on whatever folder was selected when you clicked it. Check Template folder at the top of the editor, and remember that personal and company folders are separate places.
A generated template comes with a placeholder URL. Set the real one under Call to Action in the settings panel before you use the template.
Check the status filter — archived templates stay hidden unless you ask for them, and the tier filters narrow the list further. Click All templates in the folder tree to clear any folder narrowing.
